Service Coordinator- Auckland - North Shore

Brief

This is an opportunity to join an established specialist construction and plumbing business in a pivotal coordination role supporting a busy service and maintenance operation.

As Service Coordinator, you’ll be at the centre of the daily workflow, coordinating technicians, managing bookings and schedule changes, responding to customers, supporting the sales process and ensuring completed work is accurately prepared for invoicing.

It’s a role that requires someone highly organised and proactive who can keep multiple moving parts under control without losing sight of the customer experience. You’ll work closely with the operational and sales teams to ensure the right people are in the right place, jobs are followed through, information is captured accurately and revenue isn't missed.

There is also a strong people element to the role. You’ll help keep the wider team connected through communication, travel and away-work coordination, employee recognition and social activities, making this an important role in maintaining a positive team culture and sense of belonging.

Non-Negotiables
  • Previous experience in a service coordination, scheduling, dispatch, administration or similar operational role.
  • Excellent organisational skills and the ability to manage multiple priorities simultaneously.
  • Strong communication skills across phone, email and messaging platforms.
  • High attention to detail, particularly when managing schedules, job information, timesheets and invoicing requirements.
  • A proactive approach to following up outstanding work, information and customer requests.
  • Confidence dealing directly with customers and resolving queries professionally.
  • Strong computer literacy and the ability to quickly learn business systems.
  • The ability to remain calm and organised in a fast-moving environment.
  • A strong sense of ownership and accountability for seeing tasks through to completion.
  • A customer-focused approach combined with an understanding of commercial outcomes.
Desirables
  • Experience within plumbing, construction, trades, facilities management or another field-service environment.
  • Previous experience coordinating technicians, tradespeople, vehicles or mobile workforces.
  • Experience using Simpro, Monday.com or similar scheduling, CRM or job-management systems.
  • Experience preparing jobs for invoicing or working with job costing and charge capture.
  • Experience supporting sales teams with proposals, quotations or customer follow-ups.
  • Familiarity with recurring maintenance programmes and scheduled service work.
  • Experience coordinating travel, accommodation or away-work arrangements.
  • Experience working with maintenance contracts or commercial clients.
  • An interest in contributing to team culture and employee engagement.
